Registration Settings

The Registration Settings page to allows you to customize the registration process. You can determine what information to gather from your registrants as they register for the event. You can make these customizations after opening the Registration Settings Page in the Event Manager. If you haven't already selected an Event, you will be prompted to select one from the Events List.

Once you've reached the Registration Settings you can:

Customize Data Entry Fields.

Use this section to customize the information you gather from your registrants as they register for your event.  

In addition to three mandatory fields -- First Name, Last Name and Email address -- the Registration Page can gather up to 8 additional data items (Company, Position, Phone, Address, Custom Field 1, Custom Field 2, Custom Field 3 and Comment).

Example: Typing "Organization" in the top Field Label box will change the "Company" prompt so that registrants will be asked for their "Organization" when registering.

Other Registration Features.

  1. Registration Deadline. The registration deadline is the date and time by which registrants much register in order to participate in the conference. By default, the deadline is set to the scheduled end time of your event. You might want to change that. For example, if you want to screen and approve each registrant, it may be helpful to set a deadline for the day before the event. Or, if you're charging registrants, you may want to set a deadline for the start of the event so participants don't pay full price to register for an event that is already in process. (You can always adjust the date, time and time zone of the registration deadline on the registration settings page.)

  2. Event Coordinator. Registration Alerts are sent to the Event Coordinator's email address. Also, if you provide the Event Coordinator's contact information, MeetingBridge Support will be able to quickly direct any support calls from prospects and/or registrants regarding your event.

Note: If you want to include your Event Coordinator's contact information but do not want to receive Registration Alerts emails, you can check Suppress Registration Alerts.

  1. Reminders. When you check the Send Prior Day Reminders box, all registered participants will receive a reminder email the day before the event. (Reminder emails are sent at 11:00 AM Eastern (US & Canada) on the day before the event).

  2. Require Approval. When you check the Require Approval box, your registrants will get a notice that their registration is pending. You will receive an e-mail after each registrant completes the registration process. You can then approve their participation in the Event and send the confirmation.

  3. Confirmation Message. You can include a custom message for new registrants to see on their Confirmation Page and their Confirmation E-Mail above the attendee instructions. The confirmation accepts Textile Markup. For help with Textile Markup, click Here.

  4. Registration Survey. Regarding the Registration Survey prompt, you can select a previously created Registration Survey from the drop down list, or create a new Survey by clicking the Here button next to the drop down list. For more information about surveys click Here.

  5. Always Allow Joins. By default, join links in confirmation emails do not allow registrants to join an event more than fifteen minutes before the scheduled start or fifteen minutes after the scheduled end. Checking the 'Always Allow Joins' box enables registrants to join at any time. Generally, this box should be unchecked. Under some special circumstances it might be appropriate to always allow joins.

  6. Time Zones. You can click on the Customize Time Zones link to change the name that you display for your time zone and provide participants with equivalent starting times from Alternate time zones.

Note: The Primary Time Zone is specified on the Basic Settings page.

  1. Publish. The Publish check box and date allow customers to prevent specific events from appearing on multi-event landing pages.

  2. Registration Link. This is link that you would distribute this links to prospects (potential event registrants). Anybody who clicks on the Registration Link will go directly to the event's customized Registration Page.
